Program for crewing companies Fleet Personnel Manager is a multifunctional client application that allows users to work with remote databases. A separate company database is created on a dedicated server for each client. Access to the database is multi-user, an individual account is created for each user and the appropriate access rights are assigned.

Access levels

The program provides three standard access levels and one combined level:

Reception - it is for reception staff and assistants. It allows you to enter seafarers' personal data into the database, as well as search for candidates across the entire database;

Crew operator - an access level for crew operators. It includes a standard package of functions for accounting of seafarers on board / ashore, management of seafarers' databases, vessels, companies, documents, a generator of seafarers' personal data, reports, as well as an expense accounting module;

Manager - it is for company`s management and accounting department. In addition to the functions described above, its functions allow you to monitor the work of operators, see full statistics of vessel joining, people on board, as well as annual company statistics for the entire period. A separate module is provided for generating accounts (invoices) for clients.

Manager Plus - is a combined access level that combines the functions of Crew Operator and Manager. It is convenient for small companies in which the General Manager also performs the functions of a crew operator.

Seafarer`s card

We tried to make adding new candidates to the database as convenient as possible. A personal card is generated for each seafarer, which contains all the main contact information, sea service, licenses, certificates, etc.

If necessary, you can also enter additional data, for example, the nearest airport, the size of the overalls and shoes, specialized education, test results, contacts of next of kin, upload a photo, upload scanned copies of documents and the original Application form. It should be mentioned that a separate database is provided for comments, saving records in chronological order with a note of who exactly left the comment. There is also an opportunity for seafarers to enter their data directly into your database through an online Application form, which significantly saves your time!

Personal card - Sea Service

In the Sea Service tab, the system automatically registers all seafarer contracts in your company. The record is added when the seafarer joins the vessel and it is adjusted when he is signing off. The program supplements the existing service record, which was entered during the initial registration of the seafarer. The entire period onboard for each contract is also automatically calculated in the 0m 0d format. ВAll the necessary data on the vessel is taken from the general ship database of the Ships Database company. Of course, the data must be pre-entered into the ship database. As a rule, the data include basic characteristics such as deadweight, type, flag, year of construction, etc. For the offshore fleet, such fields as DP Class and DP Type are provided.

We would also like to note that among the functions built into the Personal Card there is an Application form generator that creates and allows you to export a seafarer's Application form in any of the required formats, be it PDF, Word or Excel. The structure of the Application form, upon request, can be adapted by our specialists according to the requirements / standards of your company.

Database – candidates` search

The main task of any crewing company is a prompt search for qualified personnel, so we paid special attention to the search, creating an extended filter system. You can sort candidates by position, vessel type, engine type, DP system type, visa availability, flag documents, DP certificate, etc. For example, you are looking for a captain with a DP-unlimited license, Dutch documents and working experience on a diving support vessel - just a few clicks and the system will create a list of suitable candidates for you.

Online Application form is a separate module (script), which is located directly on the web server. Access to the online Application form is carried out through any web browser. Thanks to the online Application form, seafarers can independently register and enter their personal data, sea service, upload documents, etc. In real time, all entered data is automatically flowing into the database and it becomes available in the program for the company's operators.

Accounting of people on boardу

The display table is broken down by months, which allows you to see specific boarding dates, as well as expected sign-off dates, which greatly simplifies the process of planning crew changes for operators. The process of joining a vessel (adding to a vessel in the program) is quite simple, it is enough to select a seafarer from the database, indicate the duration of the contract and the date of boarding. Signing off from a vessel is also carried out in a few clicks. When joining and signing off a vessel, the module automatically registers and adds an entry to the seafarer's Sea Service. Promotion on board. The Onboard module has a "Promote". function. It allows you to instantly transfer a seafarer to another position, automatically adding an entry to the Sea Service. Also, to keep track of statistics on all promotions, there is a separate Promotions module, where you can now sort information by months. For all tabular data, the program provides the ability to export to Excel.

The offline module is a separate program with limited functionality (works only in read-only format), which automatically starts if the Internet is lost in your office. It works locally with the latest copy of the seafarers' contact database (which is automatically loaded each time the main program is launched). That is, even in case of emergency with no Internet, you will still be able to contact the right candidate.

Logbook module

The Logbook module is the so-called operation log, which records all user actions. In a separate database, this data is recorded in the format (date and time, description of the action, operator). It is also provides for sorting records by date and operator.

Vacancies module

Using Vacancies the manager, upon receiving new vacancies, places them in the program, thanks to which all crew operators can track current applications and search for suitable candidates more effectively. The module provides a status system for both vacancies ("Open", "Candidate introduced", "Fulfilled"), and for submitted candidates ("Introduced", "Rejected", "Approved").

Automatic notification system for seafarers about expiration dates of documents

The program provides the ability to automatically notify your company's seafarers about the expiration of passports, work documents, medical examination, etc. Thanks to this module, as an additional control tool, the efficiency of the crewing department is significantly.
